Common Email Problems & Solutions
Cannot Send Email (SMTP Authentication Error)
- Verify your SMTP port — try both
465(SSL) and587(STARTTLS). - Ensure SMTP authentication is enabled in your email client settings.
- Confirm your username is your full email address, not just the username part.
- Check that your email account password hasn't changed (reset it in cPanel if needed).
- Your ISP may block port 25 — use port 587 instead.
Cannot Receive Email
- Check that your domain's MX records point to your hosting server.
- Verify the mailbox is not full — check quota in cPanel → Email Accounts.
- Check the spam/junk folder in your email client or webmail.
- Ensure the sender is not in your blocked senders list.
Email Going to Spam
- Set up SPF and DKIM records — in cPanel, go to Email → Email Deliverability and click Repair to auto-configure them.
- Avoid spam trigger words in your subject line.
- Ask recipients to mark your emails as "Not Spam".
- Set up a DMARC TXT record for extra trust.
SSL Certificate Warning in Email Client
If you see a certificate warning, try using your server's hostname (not your domain) as the incoming/outgoing server address. Find your hostname in cPanel → Server Information.
Emails Delayed
Email delivery delays are often caused by:
- DNS propagation (if you recently changed MX records)
- Receiving server being temporarily unavailable
- Content filters holding messages for scanning
If delays persist beyond 1 hour, open a Support Ticket with the affected email address and time of the issue.
